HR Assistant
This position is fully onsite in Milford, CT.
Position Overview
The HR Assistant provides day-to-day support across Human Resources, business administration, reporting, and office operations. This is a highly hands-on role for someone who is organized, analytical, detail-oriented, and comfortable supporting multiple departments and priorities at once.
This person will work closely with the HR Director, HR Manager, Recruiting, Payroll, Finance, IT, Operations, and the leadership team. The People Operations Assistant will serve as a key liaison between departments, help keep projects and administrative processes moving, maintain accurate reporting and documentation, and provide support wherever needed across the business.
A major component of this role is reporting, data management, and Microsoft Excel. The ideal candidate is highly proficient in Microsoft Office, particularly Excel, and is comfortable working with spreadsheets, formulas, reports, trackers, analytics, data entry, and large amounts of information.

Key Responsibilities
Reporting, Analytics & Data Management
Create, maintain, and update recurring reports, spreadsheets, trackers, and dashboards.
Compile and organize information from multiple departments into accurate and easy-to-understand reports.
Work extensively in Microsoft Excel using formulas, lookups, pivot tables, conditional formatting, filters, data validation, and other reporting tools.
Analyze and organize data to identify missing information, inconsistencies, trends, and areas requiring follow-up.
Maintain accurate records and perform routine and high-volume data entry across company systems.
Assist leadership and department heads with recurring reporting and ad hoc data requests.
Help build and improve spreadsheets, trackers, templates, and administrative workflows.
Maintain organized electronic records, shared files, and reporting documentation.
Prepare polished documents, reports, and presentations using Excel, Word, PowerPoint, Outlook, and Teams.
People Operations & HR Support
Assist with employee onboarding from offer acceptance through the employee's first day.
Prepare and maintain new hire paperwork, personnel files, employee records, and onboarding documentation.
Coordinate background checks, I-9 documentation, required forms, and other pre-employment requirements.
Enter and maintain employee information in HRIS, payroll, onboarding, and other business systems.
Provide administrative backup for payroll, PTO, tips, onboarding, and other HR functions when needed.
Assist employees with general HR, benefits, PTO, policy, and onboarding questions, escalating matters when appropriate.
Support employee status changes, benefits enrollment, employment verifications, and HR correspondence.
Assist with employee offboarding and related documentation.
Support compliance initiatives, audits, required trainings, and policy acknowledgments.
Maintain confidential employee information with accuracy and discretion.
Leadership & Project Support
Provide administrative and project support to the leadership team.
Assist with executing and completing leadership initiatives, special projects, and business priorities.
Help translate projects into organized action items, deadlines, trackers, and follow-up items.
Follow up with departments and individuals regarding outstanding information, documentation, and deadlines.
Prepare spreadsheets, presentations, reports, summaries, and supporting materials for leadership.
Monitor assigned projects and help ensure deliverables are completed accurately and on time.
Assist with meeting preparation, follow-up, documentation, and action items.
Take ownership of assigned administrative projects from start through completion.
Cross-Department Support
Serve as a liaison between HR, Recruiting, Payroll, Finance, IT, Operations, leadership, and other departments.
Help coordinate requests and communication between departments.
Assist different teams with administrative, reporting, documentation, and data-entry needs as priorities arise.
Provide backup administrative support across different areas of the business when needed.
Track outstanding requests and follow up to help ensure timely completion.
Help create consistency and organization across shared processes and information.
Office Administration
Serve as a welcoming point of contact for employees, candidates, visitors, vendors, and guests.
Greet and assist visitors entering the office.
Assist with incoming calls, mail, packages, deliveries, and general correspondence.
Maintain office inventory and coordinate ordering of supplies.
Monitor office needs and help ensure supplies and common areas remain organized and stocked.
Coordinate meeting rooms, lunches, internal meetings, employee events, and other office logistics.
Assist with occasional calendar management, meeting scheduling, and appointment coordination.
Maintain shared calendars, contact lists, internal documents, and administrative records.
Help maintain an organized, professional, welcoming, and efficient office environment.
Provide general administrative assistance wherever needed across the organization.
Qualifications
Bachelor's degree in Human Resources, Business Administration, Management, Analytics, Finance, or a related field preferred.
0–3 years of HR, administrative, office, reporting, business operations, or related experience preferred.
Advanced proficiency in Microsoft Excel is strongly required.
Strong proficiency in Microsoft Outlook, Word, PowerPoint, Teams, and the broader Microsoft Office suite.
Comfortable using Excel formulas, XLOOKUP/VLOOKUP, pivot tables, conditional formatting, filters, data validation, and large spreadsheets.
Strong analytical and reporting skills.
Exceptional organization and attention to detail.
Strong written and verbal communication skills.
Ability to prioritize and manage multiple responsibilities, deadlines, and requests.
Strong follow-through and the ability to independently take ownership of assigned tasks.

Ability to learn new technology, systems, and processes quickly.
Experience with HRIS, payroll, applicant tracking, onboarding, reporting, or other business systems is a plus.

Compensation and Benefits
Annual salary: $60,000–$65,000, depending on experience.
